Summary of the role:

A strong all-rounder is required to assist the Directors of a busy niche immigration law firm in the City Centre to primarily manage the administrative function at the firm. This is a varied and interesting role for the right individual and as such we require someone who can demonstrate initiative, flexibility and an understanding of the need for confidentiality at all times. This role would particularly suit someone with a strong senior administration background wishing to take the next step into management and expand their role into wider operational areas.

The role will include:

  • Line management for a dedicated team of administrators (5).
  • Management of the administrative function of the firm ensuring that processes are followed and the team is working effectively and efficiently. This will include stepping in and covering any of the other administrators during absence and holiday periods if the need arises.
  • Assisting the business in achieving outstanding internal and external customer service
  • Health and safety assessments
  • Ensuring regulatory compliance at all times
  • Involvement with wider operational issues such as I.T., facilities alongside the Operations Director
  • Provide a HR administration function supporting the external HR provider to the firm and being the day to day point of contact for HR matters, liaising with staff appropriately on all levels and reporting into the HR provider and Operations Director with such matters. Key HR tasks will include sending payroll and pensions information, recruitment, organising and assisting with staff inductions, monitoring and input of data on the firms HR programme; PeopleHR and Right to Work checks.
  • Managing all staff training including booking courses to ensure compliance, ongoing individual accreditations and monitoring training plans.
  • Working with the Operations Director and contributing to the development of systems and processes to ensure efficiency and effectiveness.

Required Skills/Experience/Knowledge:

  • An excellent administrator with a strong background in administration at a senior level, ideally within professional services.
  • Ability to manage their own varied workload with minimal supervision reporting to the Operations Director and HR provider as appropriate.
  • Experience managing a team or an experienced individual looking to make that next step into management.
  • A proactive and approachable person with the ability to liaise with people at all levels of the firm in a professional manner. There will be a particular focus to influence, support, develop and manage the admin team as well as liaise with staff on all levels of the firm.
  • Excellent interpersonal skills and an ability to maintain professional integrity, professionalism and confidentiality at all times.
  • Ability to adapt and work in all areas of the business to meet the needs of the firm.
  • Good forward-planning skills
  • Excellent customer service skills
  • Ability to run projects from end-to-end

Desirable Skills/Experience/Knowledge:

  • Team leadership
  • HR administration
  • Reception/ front of house experience
  • Legal sector experience


Working hours:

Full-time (9am – 5pm) although we would consider a slight variation to these hours or part-time hours for the right candidate.



Salary - Negotiable, dependent upon experience

Annual Leave – 20 days per annum (plus public holidays) rising by 1 day for each full year of service up to a maximum of 25 days per annum
