HR and Operations Executive

Summary of the role

 

A strong all-rounder is required to assist the Practice Manager of a busy niche immigration law firm in the City Centre to deliver business operations to a very high level. This is a varied and interesting role for the right individual and as such we require someone who can demonstrate initiative, flexibility and an understanding of the need for confidentiality at all times. This role would particularly suit someone with a strong senior administration background wishing to take the next step into management and expand their role into wider HR and operational areas.

 

The role will include:

  1. Line management for a dedicated team of administrators (4).

  2. Management of the administrative function of the firm ensuring that processes are followed and the team is working effectively and efficiently. This will include stepping in and covering any of the other administrators during absence and holiday periods if the need arises.

  3. Working with Reception in assisting the business in achieving outstanding internal and external customer service

  4. Ensuring regulatory compliance at all times (including detailed knowledge of the Office and Personnel Manuals)

  5. To carry out a 6 monthly audit of HR systems, procedures and record keeping on personnel files

  6. Involvement with wider operations issues alongside the Practice Manager

  7. Provide a HR administration function supporting the external HR provider to the firm and being the day to day point of contact for HR matters, liaising with staff appropriately on all levels and reporting into the HR provider and Practice Manager with such matters. Key HR tasks will include sending payroll and pensions information and organising and assisting with staff inductions.

  8. To work with any relevant Managers or Heads of Departments to recruit for roles that have been identified and draft initial advertisement and await approval from Directors. Directors approve any advertising for roles along with package offered to potential employees.

  9. Managing all staff training including booking courses to ensure compliance, ongoing individual accreditations and monitoring training plans and record all training on spreadsheet and People HR.

  10. Working with the Practice Manager and contributing to the development of systems and processes to ensure efficiency and effectiveness for HR administration.

  11. Be prepared to attend events and courses as and when required and be involved in and with the delivery of additional business projects.

 

Required Skills/Experience/Knowledge:

  1. An excellent administrator with a strong background in administration at a senior level, ideally within professional services.

  2. Ability to manage their own varied workload with minimal supervision reporting to the Practice Manager as appropriate.

  3. Experience managing a team or an experienced individual looking to make that next step into management.

  4. A proactive and approachable person with the ability to liaise with people at all levels of the firm in a professional manner. There will be a particular focus to influence, support, develop and manage the admin team as well as liaise with staff on all levels of the firm.

  5. Excellent interpersonal skills and an ability to maintain professional integrity, professionalism and confidentiality at all times.

  6. Ability to adapt and work in all areas of the business to meet the needs of the firm.

  7. Good forward-planning skills

  8. Excellent customer service skills

  9. Ability to run projects from end-to-end

 

Desirable Skills/Experience/Knowledge:

  1. Team leadership

  2. HR administration

  3. Reception/ front of house experience

  4. Legal sector experience

 

Working hours:

Full time 9 – 5pm although we would consider a slight variation to these hours for the right candidate.

 

Benefits:

  1. Salary – £20,000 - £25,000 per annum, dependent upon experience.

  2. Annual Leave – 26 days per annum (plus public holidays) rising by 1 day for each full year of service up to a maximum of 30 days per annum.

  3. City Centre location with excellent transport links.

  4. Remote working will be considered. As restrictions lift you must have the ability to travel to our Nottingham office for part of the week and when required.
